Guidelines on Redistribution of Deselected Materials

These guidelines outline the process of redistributing deselected materials from the Thomas G. Carpenter Library.  Any transfer of deselected materials must comply with relevant state regulations, including Florida Statute 273.055, governing the disposition of state property.

Deselected materials from the Thomas G. Carpenter Library may be redistributed or transferred under the following conditions:

Redistribution of Deselected Materials to UNF Departments or Units:

  • Departmental requests for receiving deselected materials must be approved (in writing via email) by the Dean of the Library.
  • Controller’s Office must also approve (in writing via email).
  • Individuals are not eligible to receive deselected materials.  Only departments and units within the University of North Florida are eligible. 
  • Materials redistributed to departments or units must be used exclusively for academic and departmental purposes and cannot be removed from campus.  Personal ownership is prohibited. 
  • Once the department has received approval from the Dean of the Library and Controller’s Office, the material will be transferred.
  • The library/university shall maintain records to identify each property item as to disposition.
  • Any additional redistribution by the receiving department/unit is governed by all campus and state regulations concerning the disposition of state property.

Redistribution of Deselected Materials to Non-UNF Organizations:

  • Requests for receiving deselected materials must be approved (in writing via email) by the Dean of the Library.
  • Controller’s Office must also approve (in writing via email). The organization requesting the deselected materials must be a non-profit.
  • Before the materials can be transferred from the University, the organization requesting the donation must present a copy of its 501c3 and a letter of intent to the Controller’s Office specifying how the material will be used.  The letter of intent needs to be on the organization’s letterhead. The 501c3 and letterhead must match.
  • Once the organization has received approval from the Dean of the Library and Controller’s Office, the material will be transferred.
  • The library/university shall maintain records to identify each property item as to disposition.

Transfer of Deselected Materials to other Universities/Governmental Entities:

  • Requests for the transfer of deselected materials must be approved (in writing via email) by the Dean of the Library.
  • Controller’s Office must also approve (in writing via email).
  • Once the organization has received approval from the Dean of the Library and Controller’s Office, the material will be transferred.
  • The library/university shall maintain records to identify each property item as to disposition.
